Office Manager/Assistant CEO

The Boys & Girls Club of Greater Shasta is looking for dynamic, skilled individuals who love providing excellent customer service in a fun, multifaceted administrative environment. 

  Primary Function:  

Under the supervision of the CEO, the Office Manager/Assistant CEO provides regular clerical and administrative support, including verbal and written communication; and prepares correspondence and reports; data input to donor database.

  Position Responsibilities:  

  1. Performs regular secretarial duties, preparing correspondence and reports as requested by supervisor and composes draft letters following established formats. Proofreads all materials for accuracy prior to supervisory review and signature.

  2. Answers telephones, providing general information, referring callers to other staff, or taking messages as necessary.

  3. Maintains master schedule of Club activities and events.

  4. Maintains electronic and hard copy filing systems, making sure they are accurate and timely and facilitates easy retrieval of information.

  5.  Responsible for managing inventory of office equipment and service contracts, performing routine maintenance activities, and contacting service representatives as needed.

  6. Perform administrative assistance in human resources duties including maintaining employee and volunteer files, updating and obtaining insurance certifications, running background checks, assisting with new hire tasks, and online internal reports coordination.

  7. Maintains and updates online presence on social networking sites, e-newsletter, and sending out public service announcements. May maintain the organization’s website if demonstrated experience. 

  8. Data input to donor database including input of donations, thanking donors, updating contact information.

  9. Keep the office clean and tidy – organizes supplies, files paperwork, etc. 

  10. May serve as Club receptionist/front desk, greeting all members and visitors and maintaining attendance and Club procedure logs.

  11.  Performs other related secretarial or administrative duties as requested.

Skills/Knowledge Required:  

  • High school diploma or equivalent

  • One year of office clerical experience

  • Training in secretarial skills and use of common office equipment

  • Knowledge of Excel, Word, Google docs, Constant Contact

  • Strong written and verbal communication skills

  • Good organization and attention to detail

  • Strong customer relations skills

  • Able to maintain strict confidentiality

  Wage / Benefits:  

This position is a full-time position starting at $49,920-$60,320 with full benefits and opportunities for merit bonuses. Sign-on bonuses are available for qualified candidates.
